How do I manage my vendors?
Keep contractors and service providers in Vendors: contact details, trades, preferred status, insurance and license expiry dates, and documents like a certificate of insurance or a W-9.
You can assign a vendor to a maintenance request and rate them per job. Insurance or license expiry reminders are advisory - they never block you from using a vendor.
When an expense or receipt names someone who isn't in your list yet, the Vendors page suggests adding them - review and correct the detected details before saving, and their past expenses link to the new vendor so spend and 1099 totals attach. Nothing is ever added automatically.
After assigning a vendor with an email address, open the request, choose Email job to vendor, and review the recipient and job details before Send work order. The seven-day link lets that vendor accept or decline in a browser without an account. Recent work orders shows responses and lets you revoke a link or explicitly review and send again. Nothing sends automatically on assignment.
An accepted vendor can upload photos or an invoice: up to 10 MB each, 20 files and 50 MB in total. Invoices are documents, not payment requests or recorded expenses. The vendor can reopen the original email link after refreshing the page. Forwarding a link gives the recipient the same limited access until it expires or is revoked.
